Complexity is the risk
A single business page with one owner is easy to secure. The picture changes when an agency manages client assets, a brand group runs regional pages, or an institution operates several public channels. Each additional administrator, shared login, or informal handover expands the attack surface and the chance of a policy misstep.
Governance is the discipline that keeps this complexity manageable: clear ownership, defined roles, and recorded changes.
The asset inventory nobody keeps
The first step is unglamorous but decisive: a written inventory of every digital asset the organisation controls — pages, accounts, business managers, ad accounts, and the access paths to each. In most disruption cases we see, the organisation could not fully answer the question: who currently holds administrative access to what?
- Every asset, its purpose, and its business owner
- Every administrator, their role level, and their 2FA status
- Recovery paths: email addresses and phone numbers that control resets
- Date of last access review
Role design beats password sharing
Shared passwords are still the most common — and most dangerous — access pattern in multi-page operations. Platform role systems exist precisely to avoid this: give each person the minimum role they need, in their own name, reviewable and revocable. When someone leaves a team, revocation should take minutes, not a crisis meeting.
A review rhythm that scales
Governance decays without a rhythm. A quarterly review — access list against staff list, 2FA status, dormant account removal, inventory updates — keeps the structure honest with a small, predictable effort. For high-dependency organisations, Vanguard IT provides this as ongoing advisory: continuity planning, governance review, and compliance readiness on a monthly cadence.
